The Record an Affiliate Payment page allows you to quickly locate the affiliates that have payments due to them and credit them with payments that you have made.
Search Affiliates The Record an Affiliate Payment page has its own search tool to locate the affiliates that match your search criteria. When the page first loads, it will default to searching for affiliates whose current earnings are greater than the Minimum Payout Threshold you have established in the Affiliate Module Settings. Affiliates that match the search criteria will be listed in the Search Results section of the page.
Affiliates can also be searched by their email address, first name, last name or SID number.
Recording affiliate payments To record payments to one or more affiliates, follow these steps:
- Enter the payment's value in the Payment Value field. The payment's value does not need to match the Amount Due to the affiliate. If the payment made is less than the amount due, the payment will be deducted from the amount due, leaving the remainder due.
- Select the manner in which the affiliate is being paid from the Payment Method menu. Payment methods can be anything you like. Common payment methods include: check, money order, direct deposit, ACH and PayPal.
You can add payment methods to your list by selecting New Payment Method from the menu. A text field will then be displayed, in which you can enter the name of a payment method to add to your list. Any payment method you add in this fashion will become a permanent addition to the Payment Method menus.
- Enter a Payment ID, if any. This is for your own record keeping purposes, and can be anything you like. Common Payment IDs include: check number or an electronic funds transfer confirmation number.
- Enter a Memo if desired. The memo can be anything you like. The contents of the memo field may be displayed to the affiliate in their Affiliate Account area in some store configurations, so don't record any memos that you wouldn't want to be viewed by the public.
- Select the Payment Date. The date fields will default to today's date.
- Make sure that the checkbox in the column is selected, then click the Go button at the bottom of the page to record your payments.
note The Record and Affiliate Payment tool does not transfer funds to the affiliate. It is for record keeping purposes only. The actual transfer of funds to affiliates should be performed through your financial institution. Use this tool to record and search payment records and make the payment information available to the affiliates in their Affiliate Account area in your storefront.
Editing Affiliate Payments To edit an exiting affiliate payment, follow these steps:
- From the Affiliate Marketing module's home page click the link to the Search Affiliate Payments page.
- On the Search Affiliate Payments page, click either the SID number or the edit icon for the payment to open it in the Affiliate Payment Editor.
- Make the desired changes to the affiliate payment.
- Click the Save Changes button when finished.
